A filter walkthrough: make Gmail automatically send the threads that matter — a client's domain, a vendor, a keyword — to your BrainFlow address, so it sees them without anyone remembering to CC.
BrainFlow works when it's on the thread — by CC or by forward. The CC habit takes one second, but habits slip. An auto-forward filter means BrainFlow sees the important threads (every message from a client's domain, for example) even on the days nobody remembers to add the address. Set it up once; it runs forever.
Forward client threads
Filter on a client’s domain — from:acme.com — and every message from that client reaches BrainFlow, even the ones you weren’t copied on. BrainFlow extracts what was decided, promised, shipped, and slipped, each point linked to the source email.
Forward vendor threads
Filter on a vendor’s domain to track quotes, delivery dates, and terms. If a vendor’s email quotes a different price than the one agreed in the thread, BrainFlow’s misalignment detection flags it privately.
About five minutes, once. After this, matching mail reaches BrainFlow automatically.
Open the Forwarding settings
In Gmail on the web, click the gear icon → See all settings. Go to the Forwarding and POP/IMAP tab. (Forwarding filters can only be set up from the web version, not the mobile app.)
Add your BrainFlow address
Click Add a forwarding address and enter the BrainFlow address for your account — it looks like assistant@yourcompany.brain-flow.ai. Gmail will ask you to confirm; proceed.
Confirm the verification email
Gmail sends a verification email to the BrainFlow address with a confirmation code. Confirm the verification email BrainFlow sends you to accept the address — this proves you own the destination.
Create your filter
Click the filter icon (sliders) in the Gmail search bar, or go to Settings → Filters and Blocked Addresses → Create a new filter. Define what should be forwarded — for example from:clientdomain.com to match every message from a client’s domain, or a keyword like "contract".
Choose "Forward it to" and create
Click Create filter, then check Forward it to and pick your verified BrainFlow address from the dropdown. Click Create filter. From now on, every matching message is forwarded automatically.
BrainFlow is on the loop
Matching threads now reach BrainFlow automatically. Ask it what the client agreed to — by reply in the thread or in chat — and every answer comes with the source email.
Filters are optional. The manual habit works on its own: when you start a thread that matters, CC your BrainFlow address.
